Terms of Service
1. About the Service
Docubrew converts PDF bank statements into structured data formats such as CSV. The Service is offered in two forms:
Cloud Service — conversions processed on our servers through your web browser; and
Desktop Application — a Windows application that performs conversions locally on your own computer.
The Service is designed for professionals such as bookkeepers and accountants, but may be used by anyone who agrees to these Terms.
2. Eligibility
You must be at least 18 years old and capable of forming a legally binding contract to use the Service. By using the Service, you represent and warrant that you meet these requirements. If you use the Service on behalf of a business or other entity, you represent that you have authority to bind that entity to these Terms, and "you" refers to that entity.
3. Account Types and Registration
3.1 Account Types
The Service may be used under the following account types. Features, limits, and quotas for each account type are described on our pricing page and may be updated from time to time in accordance with Section 8.
Anonymous Use — You may use certain features of the Service without creating an account, subject to the usage allowances described on our pricing page. For the Desktop Application, anonymous usage allowances apply on a per-device basis and do not reset, transfer between devices, or renew.
Free Account — A registered account with a limited conversion allowance, as described on our pricing page. Unused allowance does not accumulate or carry over.
Starter Plan — A paid subscription providing a monthly cloud conversion allowance and the features described on our pricing page.
Pro Plan — A paid subscription providing access to the Desktop Application, a monthly cloud conversion allowance, and the features described on our pricing page.
3.2 Registration
To create an account, you must provide accurate and complete information, including a valid email address, and keep it up to date. You may not register using another person's identity or a disposable or fraudulent email address.
3.3 Account Security
You are responsible for maintaining the confidentiality of your login credentials and for all activity that occurs under your account, whether or not authorized by you. You must notify us promptly at support@convert-pdf-statement.com if you suspect unauthorized access to your account. We are not liable for any loss or damage arising from unauthorized use of your account.
3.4 One Account Per User
Each account is personal to you. You may not create multiple accounts to circumvent usage limits, share your account credentials with others, or allow others to access the Service through your account. We reserve the right to suspend or terminate accounts that we reasonably believe are being shared, resold, or used to evade usage limits, including anonymous usage limits.
4. Subscriptions, Billing, and Payment
4.1 Paid Plans
Paid subscriptions are billed in advance on a recurring basis, either monthly or annually, according to the plan and billing cycle you select at purchase. Annual subscriptions are billed as a single upfront payment for the full annual term.
4.2 Payment Processing
Payments are processed by our third-party payment processor. We do not collect or store your full payment card details. By providing a payment method, you authorize us and our payment processor to charge that payment method for all fees due under your subscription, including renewal fees.
4.3 Automatic Renewal
Your subscription automatically renews at the end of each billing cycle (monthly or annually, as applicable) unless you cancel before the renewal date. By subscribing, you authorize us to charge your payment method for each renewal period at the then-current price for your plan.
4.4 Cancellation
You may cancel your subscription at any time through your account settings or by contacting us at support@convert-pdf-statement.com. Cancellation takes effect at the end of your current billing cycle. You will retain access to your paid plan features until the end of the period you have already paid for. Cancellation does not entitle you to a refund of fees already paid, whether for a partially used month or a partially elapsed annual term, except as determined by us under Section 4.6.
4.5 Usage Allowances
Conversion allowances (such as cloud pages per month) are provided for use within the applicable billing cycle or allowance period only. Unused allowances expire at the end of the period and do not roll over, accumulate, or convert into credit or refunds. Each page processed counts toward your allowance, including pages processed in batch operations and pages that are re-converted. If you reach your allowance limit, further cloud conversions will be unavailable until your allowance resets or you upgrade your plan.
4.6 Refunds
Except where required by applicable law, all fees are non-refundable. If you believe circumstances warrant a refund, you may contact us at support@convert-pdf-statement.com. Refund requests are reviewed on a case-by-case basis, and any refund is granted at our sole discretion. Approval of a refund in one instance does not obligate us to approve refunds in other instances.
4.7 Price Changes
We may change our subscription prices from time to time. Price changes will not affect your current, already-paid billing cycle. For subsequent renewals, we will provide reasonable advance notice of any price increase, and your continued use of the Service after the change takes effect constitutes acceptance of the new price. If you do not agree to a price change, your remedy is to cancel your subscription before the renewal date.
4.8 Taxes
Fees are exclusive of any applicable taxes, levies, or duties, which you are responsible for paying, unless stated otherwise at checkout.
4.9 Failed Payments
If a renewal payment fails, we may retry the charge and/or suspend your access to paid features until payment is successfully processed. We reserve the right to downgrade or terminate accounts with outstanding unpaid fees.
5. Desktop Application License
5.1 License Grant
Subject to your compliance with these Terms and, where applicable, payment of subscription fees, we grant you a limited, non-exclusive, non-transferable, non-sublicensable, revocable license to install and use the Desktop Application for your own internal business or personal purposes.
For Pro Plan subscribers, this license is granted per user: you may install and use the Desktop Application on devices that you personally use, provided the application is used only by you under your account. The license may not be shared among multiple individuals.
For anonymous use, the license is limited to the lifetime conversion allowance applicable to each device.
5.2 Local Processing
The Desktop Application processes your documents locally on your device. Files you convert with the Desktop Application are not uploaded to our servers as part of the conversion process. You are solely responsible for the storage, backup, and security of files on your own device.
5.3 License Restrictions
You may not, and may not permit any third party to:
copy, modify, adapt, translate, or create derivative works of the Desktop Application;
reverse engineer, decompile, disassemble, or otherwise attempt to derive the source code, underlying logic, parsing rules, or algorithms of the Service, except to the extent such restriction is prohibited by applicable law;
circumvent, disable, or interfere with license verification, usage tracking, or usage limits, including by manipulating device identifiers or system records;
rent, lease, lend, sell, sublicense, distribute, or otherwise transfer the Desktop Application or your license to any third party;
remove or alter any proprietary notices in the Desktop Application; or
use the Desktop Application to build a competing product or service.
5.4 Updates
We may release updates to the Desktop Application from time to time. Updates may be required for continued use of the Service. We may modify, add, or remove features of the Desktop Application in any update.
5.5 Periodic Re-Authentication
The Desktop Application requires you to sign in with your account, and may periodically require you to sign in again to verify your subscription status. An active internet connection is required at sign-in. If your subscription lapses or is terminated, your access to subscription features of the Desktop Application will cease.
6. Cloud Service and Your Files
6.1 File Handling
When you use the Cloud Service, your uploaded files are processed on our servers solely for the purpose of performing the conversion you requested and delivering the results to you.
6.2 Automatic Deletion
Files uploaded to the Cloud Service, and the converted output generated from them, are automatically deleted from our servers within 24 hours of processing. We do not retain your uploaded documents or converted output beyond this window, and we do not use the contents of your documents for any purpose other than performing your requested conversion. You are responsible for downloading and saving your converted output before it is deleted.
6.3 No AI Training
We do not use artificial intelligence models to process your documents, and we do not use your documents or their contents to train any artificial intelligence or machine learning system.
6.4 Your Responsibility for Files
You retain all ownership rights in the documents you upload or convert. You represent and warrant that you have all rights, permissions, and lawful authority necessary to upload, process, and convert each document you submit to the Service, including any documents belonging to your clients. You are solely responsible for your documents and the consequences of converting them.
7. Acceptable Use
You agree not to use the Service to:
process documents that you do not have the legal right to possess or process;
engage in, facilitate, or conceal any unlawful activity, including fraud, money laundering, or falsification of financial records;
upload files containing malware or malicious code;
probe, scan, or test the vulnerability of the Service, or breach or circumvent any security or authentication measures;
access the Service through automated means (including bots, scrapers, or scripts) except through interfaces we expressly provide;
interfere with or disrupt the integrity or performance of the Service or the data of other users;
resell, redistribute, or provide the Service to third parties as a service bureau or hosted offering without our prior written consent; or
misrepresent the source or accuracy of converted output.
We may investigate suspected violations and may suspend or terminate access as described in Section 12.
8. Changes to the Service
We are continuously improving the Service. We may add, modify, or discontinue features, usage allowances, supported bank formats, or plans at any time. Where a change materially reduces the core functionality of a paid plan during a billing cycle you have already paid for, we will use reasonable efforts to notify you. We are not liable to you or any third party for any modification, suspension, or discontinuation of the Service or any part of it.
9. Accuracy Disclaimer — Important
The Service uses automated parsing to extract data from PDF documents. Bank statement formats vary widely and may change without notice, and PDF documents may contain scanning artifacts, unusual layouts, or corrupted data.
We do not guarantee that converted output will be accurate, complete, or error-free. Converted output is provided as a productivity aid only. It is not financial, accounting, tax, or legal advice, and it is not a substitute for professional review.
You are solely responsible for reviewing and verifying all converted output before relying on it or using it for any purpose, including bookkeeping, accounting, tax preparation, reconciliation, or filings of any kind. We are not responsible for any errors, omissions, discrepancies, or losses arising from the use of converted output, including errors that pass through to financial records, client deliverables, or regulatory filings.
If you believe a document has been converted incorrectly, we encourage you to report the issue through the Service or by contacting us at support@convert-pdf-statement.com. Where we confirm a conversion issue, we may, at our discretion, investigate and provide a corrected conversion of the affected document at no additional charge. Any such re-conversion is provided as a courtesy only; it does not constitute a warranty, a service-level commitment, or an admission of liability, and does not modify this Section 9.
10. Intellectual Property
The Service, including the website, cloud platform, Desktop Application, parsing technology, designs, logos, and all related intellectual property, is owned by us or our licensors and is protected by intellectual property laws. Except for the limited licenses expressly granted in these Terms, no rights in the Service are granted to you. Any feedback, suggestions, or ideas you provide about the Service may be used by us without restriction or compensation to you.
11. Support and Issue Reports
11.1 Support
We provide support via email at support@convert-pdf-statement.com. Support response times may vary by plan and are provided on a reasonable-efforts basis. We do not guarantee any particular response or resolution time.
11.2 Documents Submitted with Issue Reports
If you report a conversion issue, you may choose — entirely at your option — to send us a copy of the affected document (for example, by email) to help us investigate. By sending us a document, you confirm that you have the right to share it with us, and you grant us permission to access, view, and process the document solely for the purpose of investigating and resolving the reported issue and improving the parsing capability that caused it.
Documents submitted with issue reports are deleted after our investigation is complete. We will never sell your documents or use them for advertising, and Section 6.3 (No AI Training) applies equally to documents submitted with issue reports.
If you do not wish to share a document, you may still report an issue, though our ability to investigate may be limited.
12. Suspension and Termination
12.1 By You
You may stop using the Service and delete your account at any time. Deleting your account does not entitle you to any refund except as determined under Section 4.6.
12.2 By Us
We may suspend or terminate your access to all or part of the Service, with or without notice, if:
you breach these Terms;
we reasonably suspect fraudulent, abusive, or unlawful activity, including circumvention of usage limits;
required by law; or
we discontinue the Service or the relevant part of it.
Where practicable and appropriate, we will provide notice and an opportunity to remedy the issue before termination. If we terminate your paid subscription without cause and other than for your breach, we may, at our discretion, provide a pro-rated refund of prepaid fees for the unused portion of your subscription term.
12.3 Effect of Termination
Upon termination, your license to use the Service (including the Desktop Application) ends, and you must cease all use and uninstall the Desktop Application. Sections that by their nature should survive termination (including Sections 9, 10, 13, 14, 15, and 16) will survive.
13. Disclaimer of Warranties
The Service is provided "as is" and "as available," without warranties of any kind, whether express, implied, or statutory, including warranties of merchantability, fitness for a particular purpose, title, non-infringement, accuracy, or uninterrupted or error-free operation. We do not warrant that the Service will meet your requirements, that any particular bank format will be supported or parsed correctly, or that defects will be corrected. Some jurisdictions do not allow the exclusion of certain warranties, so some of the above exclusions may not apply to you.
14. Limitation of Liability
To the maximum extent permitted by law:
(a) We will not be liable for any indirect, incidental, special, consequential, exemplary, or punitive damages, or for any loss of profits, revenue, data, goodwill, or business opportunity, arising out of or in connection with the Service or these Terms, even if we have been advised of the possibility of such damages. This includes, without limitation, any damages arising from errors or inaccuracies in converted output, or from reliance on converted output in accounting, bookkeeping, tax, or other professional work.
(b) Our total aggregate liability arising out of or in connection with the Service or these Terms will not exceed the greater of (i) the amount you paid us for the Service in the twelve (12) months preceding the event giving rise to the claim, or (ii) fifty US dollars (US$50).
(c) Nothing in these Terms excludes or limits liability that cannot be excluded or limited under applicable law.
15. Indemnification
You agree to indemnify, defend, and hold harmless Docubrew and its officers, directors, employees, and agents from and against any claims, liabilities, damages, losses, and expenses (including reasonable legal fees) arising out of or related to: (a) your use of the Service; (b) documents you upload, convert, or submit, including any claim that you lacked the right to process them; (c) your breach of these Terms; or (d) your violation of any law or the rights of any third party, including your clients.
16. Governing Law and Dispute Resolution
16.1 Governing Law
These Terms are governed by the laws of Singapore, without regard to its conflict of laws principles.
16.2 Informal Resolution
Before commencing any formal proceeding, you agree to first contact us at support@convert-pdf-statement.com and attempt in good faith to resolve the dispute informally for at least thirty (30) days.
16.3 Arbitration
Any dispute arising out of or in connection with these Terms or the Service that is not resolved informally shall be finally resolved by binding arbitration seated in Singapore, conducted in English before a single arbitrator, and administered by a recognized arbitration institution in Singapore in accordance with its rules in force at the time. To the fullest extent permitted by law, disputes must be brought on an individual basis only, and not as a plaintiff or class member in any purported class or representative proceeding.
16.4 Courts
Subject to Section 16.3, the courts of Singapore shall have exclusive jurisdiction over any dispute arising out of or in connection with these Terms or the Service.
17. Changes to These Terms
We may update these Terms from time to time. If we make material changes, we will provide notice by posting the updated Terms on our website with a revised "Last Updated" date, and, where appropriate, by additional notice such as email. Changes take effect upon posting unless stated otherwise. Your continued use of the Service after changes take effect constitutes acceptance of the updated Terms. If you do not agree to the updated Terms, you must stop using the Service.
18. General
Entire Agreement. These Terms, together with our Privacy Policy and any plan-specific terms presented at purchase, constitute the entire agreement between you and us regarding the Service.
Severability. If any provision of these Terms is held unenforceable, the remaining provisions remain in full force.
No Waiver. Our failure to enforce any provision is not a waiver of our right to do so later.
Assignment. You may not assign these Terms without our prior written consent. We may assign these Terms in connection with a merger, acquisition, or sale of assets.
Force Majeure. We are not liable for delays or failures caused by events beyond our reasonable control.
